Websavers Inc (“The Company”), operating the websites located at websavers.ca and its subdomains, is committed to respecting your (“The User”) online privacy and recognize your need for appropriate protection and management of any personally identifiable information (“Personal Information”) you share with us.

The Company has established this Online Privacy Policy so that you can understand the care with which we intend to treat your Personal Information.

Personal Information means any information that may be used to identify an individual, including, but not limited to, a first and last name, a home or other physical address and an email address or other contact information, whether at work or at home. You can visit The Company’s public website without telling us who you are or revealing any Personal Information about yourself. If you choose to provide us with your Personal Information on the Web (such as by signing up as a customer or commenting on our blog), we may transfer that Information within The Company or to The Company’s third-party service providers, across borders, and from your country or jurisdiction to other countries or jurisdictions around the world.

The Company strives to comply with all applicable laws around the globe that are designed to protect your privacy. Although legal requirements may vary from country to country, The Company intends to adhere to the principles set forth in this Online Privacy Policy even if, in connection with the above, we transfer your Personal Information from your country to countries that may not require an “adequate” level of protection for your Personal Information. In other words, our goal is to provide protection for your Personal Information no matter where that Personal Information is collected, transferred, or retained.

We ensure that our customers can access all saved personal information via our Client Centre. Included in this is the ability for Customers of The Company to update or remove information at any time, including removal of any saved payment information.

GDPR

The private personal data belonging to customers of The Company are stored in the software called WHMCS, which in itself offers full compliance with GDPR as described here.

Cookies and Other Tracking Technologies

Some of our Web pages utilize “cookies” and other tracking technologies. A “cookie” is a small text file that may be used, for example, to collect information about Web site activity. Some cookies and other technologies may serve to recall Personal Information previously indicated by a website visitor. Most browsers allow you to control cookies, including whether or not to accept them and how to remove them.

You may set most browsers to notify you if you receive a cookie, or you may choose to block cookies with your browser, but please note that if you choose to erase or block your cookies, you will need to re-enter your original user ID and password to gain access to certain parts of The Company’s website(s).

Tracking technologies may record information such as Internet domain and host names; Internet protocol (IP) addresses; browser software and operating system types; clickstream patterns; and dates and times that our site is accessed. Our use of cookies and other tracking technologies allows us to improve our Web site and your Web experience. We may also analyze information that does not contain Personal Information for trends and statistics.

Here is a non-exhaustive list of such cookies:

  1. Google Web Services: Recaptcha (bot protection), Analytics & Tag Manager (visitor statistics), and Ads (tracks user activity on site to determine attribution)
  2. Tawk.to: website chat service, tracks the user from page to page to ensure chat continuity
  3. WPForms: tracks whether a form has been filled and/or submit
  4. WordPress: maintains your login session if you create an account to post a comment on our blog
  5. WHMCS: maintains your login session to our Client Centre (customers only)

Web & Email Hosting Data

The Company’s servers are configured and regularly updated to use the latest security standards, however The Company provides a highly configurable service, which means that some of these security systems can be deactivated permanently or temporarily by intentional configuration adjustments made by The User. In addition email transmissions can never be guaranteed to be secure due to inherent protocol fallbacks that ensure communication.

Therefore The Company expects The User to avoid storing personal data in server storage provided by The Company, including email. This aligns with our Terms of Service including but not limited to paragraph #10: Responsibility for Content, such that the data uploaded to or created on Websavers Inc. servers is strictly the Customer’s responsibility.

Personal Information

There are a few levels of data storage that can occur, as follows.

Website Visitor Data

Visitors that have not yet become customers will have their IP address and browser information tracked with Google Analytics as per Google’s privacy requirements.

If The User submits a contact form on the site, this will collect additional data about the user and submit it to our secure Client Centre. This data typically includes a name and email address and may include a website URL or related information.

Customer Data

Personal information is most commonly collected when you agree to become a customer of The Company. Stored data includes The User’s name, billing address, telephone number, email address, and may include encrypted payment data. The User has access to remove any or all of this data, however since the data is required to maintain services, The User will need to terminate services with The Company in order to remove all of their connected data.

External Vendors: The Company strives to avoid providing access to external vendors as often as possible. However in select circumstances it is necessary to share – or provide access to – basic personal data, like names and email addresses, with external service providers. When this must occur, The Company ensures The External Vendor is a trusted partner that adhere to strict privacy standards. This includes, but is not necessarily limited to, newsletter/email sending services, and software control panel developer support.

Employee Restrictions: User roles are configured for employees of The Company to ensure only those employees that need to have access to The User’s personal data will have access strictly to ensure they can complete their role’s assigned tasks.

Data Retention

  • Contact form entries: up to 2 years
  • Customer data: indefinitely or until the customer removes the data and/or requests deletion. This is used to ensure we have an accurate historical record of services rendered.
  • Support tickets: indefinitely to ensure quality of service and fidelity of communications. Data saved via the “Sensitive Data” option on each ticket is removed immediately when the ticket is closed.
  • Analytics data: 5 years for year-over-year comparisons
